TAXABLE.AI — PRIVACY POLICYLast updated: 19/10/2026Taxable.ai Ltd is the data controller for your personal data. ICO registration no. [ZC258522].
Contact: [email protected]WHO THIS APPLIES TOThis policy covers two groups:Business users — self-employed people and small businesses who send us receipts through WhatsApp or Telegram.
Accountancy practices — accountants and bookkeepers who use our dashboard to see their clients’ records.Where something applies to only one group, we say so.1. WHAT WE COLLECTFrom business users:Contact and account details: your name, your WhatsApp phone number or Telegram ID, and your email address.
Your preferences: VAT status, accounting software choice, chosen report day, and whether you’re registered for the Construction Industry Scheme.
Receipt data: the images you send us, and the information we read from them — supplier, date, amounts, VAT, category and individual line items. This includes financial information about your business.
Payment card details printed on a receipt: only the last four digits. We never hold, process or store a full card number.
Invoicing and quoting details, if you use those features: your business name, address, UTR, bank account details, the name and email of the company you invoice, and your rates.
A record of when you accepted our Terms, and which version.From accountancy practices:Your name, work email and role, and your firm’s name, logo and brand colours.
Your firm’s chart of accounts, if you import one.
A secure connection to your client’s accounting software, if you choose to connect one.2. HOW WE USE IT, AND OUR LEGAL BASISTo provide the service — reading and logging receipts, coding them to a chart of accounts, generating summaries and accounting exports, emailing reports, and sending records to your accounting software where you’ve connected it. Legal basis: performance of our contract with you.
To answer general tax questions you ask the bot, using answers we have written from published HMRC guidance. Legal basis: performance of our contract with you.
To contact you about the service and respond to your messages. Legal basis: our legitimate interests in operating and supporting the service.
To keep the service secure and prevent misuse. Legal basis: our legitimate interests.We do not use your data for advertising, and we do not sell it.3. AUTOMATED PROCESSINGWe use AI to read your receipts and suggest a category and accounting code. It is a suggestion, not a decision about you, and your accountant can change anything it produces. No decision with a legal or similarly significant effect is made about you automatically.We do not use your data to train AI models, and our AI providers do not use it to train theirs.4. WHO WE SHARE IT WITHYour accountant. If you connect to an accountancy practice using their invite code, or ask us to copy your accountant on your reports, we share your receipts, receipt images, totals and summaries with that practice so they can do your books. The practice is responsible for your data in their hands under their own privacy policy. You can disconnect at any time by messaging accountant off.Your accounting software. If your practice connects your Xero (or similar) account, we send your receipt records there as draft entries for your accountant to approve.Our suppliers, who process data on our instructions:Purpose Provider

YOUR RIGHTSUnder UK data protection law you have the right to access, correct, delete, restrict or object to our use of your data, to data portability, and to withdraw consent where we rely on it.To exercise any of these, email [email protected]. Terms
TAXABLE.AI — TERMS OF SERVICELast updated: 06/07/20261. ABOUT THESE TERMS
These terms govern your use of Taxable.ai ("we", "us", "the service"), operated by Taxable.ai Ltd. By using the service you confirm that you accept these terms and that you are using it in the course of your business or self-employment. If you do not agree, do not use the service.2. WHAT THE SERVICE DOES
Taxable.ai lets you send photographs of receipts via WhatsApp or Telegram. We use automated and AI tools to read details from those images (such as vendor, date, total and VAT), record them, and provide periodic summaries and export files formatted for accounting software (e.g. Xero, QuickBooks). The service is a record-keeping and data-capture tool only.3. WE ARE NOT ACCOUNTANTS OR TAX ADVISERS
Taxable.ai is not an accountant, bookkeeper, tax adviser, or agent, and does not provide accounting, tax, financial or legal advice. Nothing produced by the service is advice or a substitute for a qualified professional. You remain solely responsible for your own tax affairs, records, and any submissions to HMRC or other authorities.4. YOUR RESPONSIBILITIES
You are responsible for:
- Checking the accuracy of all data captured before relying on it or submitting it to anyone;
- Keeping your own original receipts and records (HMRC requires you to retain originals — the service is not a substitute for that);
- Ensuring your records are complete (the service only captures what you send it);
- All tax filings, deadlines, calculations and payments, whether prepared by you or your accountant.5. ACCURACY AND AI LIMITATIONS
Automated extraction can be wrong or incomplete — for example due to image quality, unusual receipt formats, or errors in the AI. We do not warrant that any captured figure, category, VAT amount, or export is accurate, complete, or fit for any particular purpose. You must verify everything before use.6. AVAILABILITY
We aim to keep the service running but do not guarantee uninterrupted or error-free availability. We may change, suspend or withdraw the service or any feature at any time.7. LIMITATION OF LIABILITY
To the fullest extent permitted by law:
- We are not liable for any tax underpayment, overpayment, penalty, interest, missed deduction or claim, fine, or any loss arising from errors, omissions, inaccuracies, unavailability, or your reliance on data or exports produced by the service.
- We are not liable for any indirect, consequential or economic loss, loss of profit, or loss of data.
- Our total aggregate liability to you, for any and all claims, is limited to the greater of (a) the fees you paid us in the 12 months before the claim, or (b) £100.
- Nothing in these terms excludes any liability that cannot lawfully be excluded, including for death or personal injury caused by our negligence, or for fraud.8. YOUR DATA
We handle your data in line with our Privacy Policy and UK data protection law. You confirm you have the right to submit any information you send us.9. TERMINATION
You may stop using the service at any time. We may suspend or end your access if you breach these terms or misuse the service.10. CHANGES
We may update these terms. Continued use after an update means you accept the revised terms.11. GOVERNING LAW
These terms are governed by the law of England & Wales, and the courts of England & Wales have exclusive jurisdiction.12. CONTACT
